These are recommendations only and legal advice or contact with your building’s management should be sought to ensure actions are appropriate for your specific condominium.  Links to a number of legal websites are available below for more information.  This list is not meant to be an exhaustive checklist but only some suggestions of action to be taken.  If you have anything you think would be good to add to the list please let us know through our contact section.

 

Boards & Management

 

Concise Notices - Reminders of the same items over and over may result in people ignoring new  information. Highlight new information that affects your specific condominium and use bullet points to make notices easier for residents to skim through.

 

Don’t Overstep – Condominium is responsible for the property as a whole and should not take on owner’s responsibilities.

 

Cleaning - Ensure increased cleaning of high traffic surfaces (elevator buttons, door handles, railing, etc.) with disinfectant specifically for viruses not just bacteria.

 

Protect Staff 

  • You may wish to install plexiglass dividers on security desks.

  • You may wish to post notice about ensuring physical distancing and install caution tape or thick masking/duct tape to demark safe distances.

  • If available supply staff with gloves and masks.

  • Adjust cleaning schedules to try and limit staff contact with residents.

  • Remind residents to limit staff communication in person and handle business by phone or email.

  • Support staff by communicating with them and addressing any safety concerns.

 

Show Face – Managers are still considered essential and should still be conducting site inspections and responding to residents’/owners’ communications.

 

Major Work – To limit exposure to the residents’ major work should be postponed unless of an urgent nature. 

 

Fees Collection – There has been no extension of lien priority at this time and the condominium has a fiduciary responsibility to collect fees.

 

Reserve Fund – This fund is not permitted to be used to offset fees due to limitation of the Condominium Act.

 

Rules – Gathering restrictions limit the owner’s capability to requisition meetings concerning new rules and as such no new rules should be issued at this time.

 

Reported Case of Covid-19 

  • A report should be made with public health

  • Issue notice to residents with reminder that personal information (name, suite, floor) cannot be shared due to privacy restrictions. 

  • Prepare notice beforehand so it is ready to be issued immediately when/if needed.

  • Sanitize areas that may have been affected by the reported individual.

 

Contract Changes – As management is considered essential any turnovers or contracts for management etc. should still be addressed in a professional manner without delays.

 

Board Meetings – Should be handled by teleconferencing/electronic means.  This method requires approval of all board members for proper business to be conducted.

 

AGMs – Should be postponed and managers should begin to take steps for the meetings to be held after gathering restrictions are lifted.

 

Site Deliveries 

  • Managers should have protocols in place for owners to obtain deliveries as some security companies are not permitting their guards to receive packages.

  • An area may need to be setup in view of a security camera, if possible, for deliveries to be left/stored for resident pickup.

  • Wipes or other sanitizing solutions should be near the package pickup zone to minimize the risk of Covid-19 transmission in the building.

 

Owners & Residents

Suite Work – Limit your suite work to minimize noise.  Other residents are home during the day and loud noises may not be accepted in your condominium.  Consult your condominiums rules in this regard.

 

Reporting Covid-19 Case – Report to your corporation immediately if you have contracted or may have contracted Covid-19.  Privacy laws do not permit condominium management or staff to share your personal information with others (besides Public Health) but steps need to be taken to protect your fellow residents.

 

Gossip – Hearsay around the building can cause a lot of confusion when dealing with this virus.  If you hear a rumour about a case of Covid-19, please advise the person to report directly to management.  It is hard for management to take any action hearing from a third party.

 

Stay in Your Suite – Isolation means just that.  Please do not congregate with your neighbours in the common areas such as Hallways, Mail Room, etc.

 

Condominium Fees – Please remember that your condominium still has operational costs such as Utilities, equipment maintenance and staffing.  Fees are still required to be paid in most cases.  Liens still must be registered to ensure priority within 90 days.

 

Spring Cleaning – Residents may wish to use this time to do Spring cleaning in their suite.  Cleaning you range hood, HVAC and dryer filters are just some of the key areas that should be addressed regularly and now is the perfect time to catchup on these items.
